Procurement and Contract Services is thrilled to introduce an innovative purchasing program in partnership with Amazon Business. This initiative will consolidate all Washington State University business and consumer accounts into a single Amazon Business account. By streamlining the purchasing process, we aim to reduce administrative burdens, ensure compliance with sales tax and purchasing regulations, and generate significant financial savings for the university. Additionally, this program allows your team to benefit from Amazon’s extensive selection and competitive pricing, enhancing efficiency and convenience in acquiring necessary supplies.

A Few Important Program Notes

  • WSU Amazon Business Prime is for WSU employees only.
  • Payment via P-Card is the only accepted form of payment.
  • Users are reminded that the University’s Amazon Business account is for University business related purchases only.
  • Personal purchases are prohibited.
  • The same email address cannot be used for both the WSU Amazon Business Prime account and another Amazon account, but cardholders will have the opportunity to move their non-WSU Amazon account to another email address.
  • Shared email accounts, such as department email addresses, are prohibited from registering with Amazon Business. Each user must use their individual @wsu.edu email address, as signing into the Business account will require Okta verification.
  • Any and all future purchases through Amazon must be made through the University’s business account.

Getting Started: New Account Scenarios

  • Check with your department finance personnel to see if your department already has an Amazon Business group created. If a group exists for your team/department, you will need to contact the group administrator to request an invitation to join.
  • If your team/ department does not yet have a group set up, or does not need one set up, please contact purchasing@wsu.edu to have an invitation sent to your email to join the “P-Card” group as an individual user. See scenario 5 below if you would like to request a group to be set up for your team/department/college.
  • Upon invitation and accessing the WSU Amazon Business catalog for the first time, you will be prompted to sign in to your existing Amazon account. You will then be prompted to review your account information and indicate what kind of shopping you have done on your account. For this scenario, select “business shopping only”. If you have made any personal purchases with your previous account, see scenario 3. Then, finally, you will be asked to confirm that you would like to join the Business account, to which you will select “yes”.

  1. Upon invitation and accessing the WSU Amazon Business catalog for the first time, you will be prompted to sign into your existing Amazon account. You will then be prompted to review your account information and indicate what kind of shopping you have done on your account. In this case, you will need to select either “A mix of business and personal shopping” or “personal shopping only”. Press Next.
  2. You will then need to change the sign in email address for your personal Amazon.com account from your WSU email to a personal email address, as Amazon Business Prime will not allow your sign in email address to be associated with any other accounts.
  3. Click “Finish Joining Amazon Business” to create your business user account. Enter your first and last name, password, and verify your email address, then click “Create Your Amazon Account”.
  4. Click “Start Shopping” and you are ready to go!


NOTE: If your Amazon.com account for this scenario was a paid Prime membership, follow the steps below to receive a pro-rated amount back to the original form of payment:
I. Login to Amazon.com
II. Cancel your Prime Membership: Your Account > Manage My Prime Membership > End Membership
III. Follow the prompts on the screen to cancel your Prime Membership without having to reach out to Customer Service. A pro-rated refund will be automatically calculated and issued to the original payment source.
IV. If you have any issues with the cancellation process or your refund, contact Amazon at 888-281-3847

  1. Sign into your Amazon Business account with the email address that the invitation was sent to. Upon signing in, you will be asked if you would like to merge your Business Account to the WSU Business Account, to which you will select “Join”. Your order history will merge and you will be refunded for your Business Prime membership.
  2. Once complete, change the email that you use to access the account so that it is no longer associated with the account and can be used to join the WSU account.

  1. You will need to send an email to purchasing@wsu.edu with the subject line “Amazon Business Group Request”. Please include the following information:
    1. Name of your group: This is typically your official department name.  If your school or department already have an existing group, your group may be added as a sub-group under the existing school or department.
    2. Names, emails, and desired role(s) of the people to be invited to your group. The group hierarchies work as follows:
      1.  Administrator: Manage people, roles, and approvals, view orders, and run order reports. Has all permissions of requisitioner and finance.
      2. Requisitioner: Requisitioners can place orders or submit an order request for approval, depending on desired approval settings.
      3. Finance: Access invoices, credit notes, analytics, and order history.
      4. NOTE: Roles can be changed at any time by the group administrator, and members can be assigned more than one role. Anybody who places order must have the requisitioner role, and additional roles can be added afterwards
    3. In the event a WSU department created a separate Amazon Business account outside of the WSU central Business Prime, they must first deregister such “rogue” account before anyone who is associated with that account can be invited to join WSU’s central Amazon Business Prime account and enjoy the Business Prime benefits. A good way to tell if your account is “rogue” is if you don’t see the Business Prime logo on the upper left-hand corner of your Business Account webpage.
